The problem when we use an email address from a local provider is we can not download our emails when we go for traveling. Almost no providers allow their SMTP server to be accessed unless you are connected with their network (It can be through Dial Up, Hot spot or Broadband connection).
The only thing that we can do is by using free web based email account that available on the internet, for example Google, Yahoo, Hotmail etc. But the problem is not all of these providers give free access for their SMTP server also, except Gmail.
Gmail with free 1 GB space storage allow you to access their SMTP server for sending emails and POP server for receiving emails.
Why do we need free SMTP and POP server meanwhile we still can send and receive emails via web based interface?
The problem is you to stay connected all the time to the internet just to download and send emails. And it will be a waste of money if you use Time Based internet access connection.
There are a lots of email client available on the internet for Linux. My favorite is Evolution, it has a complete features and easy to use. Before we start, I assume that you have an email account at Gmail and installed Evolution at your Linux Ubuntu.
Setup SMTP and POP server
Open Edit > Preferences menu
Click Forward button.
Fill your Full Name and Gmail email address then click Forward.
Select Server Type: POP, Server name: pop.gmail.com, your username and No encryption for Security then click Forward.
Set Receiving Options to what you need (I set ‘Delete after 7 days‘ otherwise my mail box will be a lot), if you don’t want to set anything just click Forward.
Set Server Type: SMTP, Server name: smtp.gmail.com, No encryption for security, type: PLAIN and your username then click Forward.
Enter your description for this setting. I put the description the same name with my email. It’s up to you to put any description.
It’s done, click Apply to save the configuration.
Now, your are ready to send or download your emails from gmail at any place in the world.

I haven’t try it yet.
But, from the Import menu, there are few types you can import.
These are:
– Barkeley Mailbox (mbox)
– vCalendar files(.vcf)
– iCalendar files (.icf)
– Evolution CSV or TAB (.csv, .tab)
– Mozilla CSV or TAB (.csv, .tab)
– Outlook CSV or TAB (.csv, .tab)
– Vcard (.vcf, .gcrd)
– LDAP Data Interchange Format (.ldif)
You can do the setting through Preferences Menu (Shift+Ctrl+S).
If you want to back up your data, just use this method:
Does anyone have a good way to export contacts FROM gmail TO evolution?
The vCard works pretty well, but there are several fields (such as the address) which get foobared. I actually created an “awk” script which massages the vcf file so that, if the address is in a standard enough format, it will mostly translate into street/city/state/zip format that Evolution can interpret.
